Windows Menu


Window: Open new window just above the opened document to switch over from opened window to window by & splitting or to arrange the opened document window.


New Window: Create a duplicate window according to the current windows.

Arrange All: Arrange all windows on the screen in tile wise.

Split/Remove Split: Split the window in the any point.

Tables Menu

Tables:  To draw the table mainly, to insert or delete or select the tables, how or columns to merging, put cells of tables, to sort the data of tables or to show or hide grid lines for tables.





Draw Table:  Draw table has been gives a draw capability. In free- from pencil mode, you can draw or erase you own table line. Thicken and shadow the lines split and merge cells.

Insert Table:  Insert a table with the number of rows and columns you specify.
Delete

Delete Table: You can delete table.  

Delete Columns:  You can delete columns

Delete Row:  You can delete row

Delete Cells:  To delete cells.

Select:  

Select Row: In table menu select, select row option

Select Column: In table menu select, select column option.

Select Table: In table menu select, select table option.

Marge Cells: Merge the contents of multiple cells. When you merge cells, their contents are converted to paragraph within the cell.

Split Cell: if you want to split the selected cell use split option in table menu. Word may ask you to specify how many cells you want after the split.

Split table:
  1. To split a table in two, click the row that you want to be the first row of the second table.
  2. On the Table menu, click Split Table.
Table auto Format:
Use table auto format to apply predefined styles to a tables, including borders and shading and to automatically set the size of the table.
Auto fit:
           
Distribute Rows Evenly: Only in Word Changes the selected Rows or cells to equal Row Heights. By Default Row Height is according to the height of the rows selected.      

Distribute Columns Evenly:- Changes the selected Column or Cells to Equal Column Width. By default Column Width is according to the Columns.

Headings: Table headings are not automatically repeated across page breaks. If this option is selected you can repeat the heading in tables that span more than one page and automatically update edited heading text.

Convert text to table/Convert table to text:  Sometimes you’ll start a project using tabs and wish you would create a table. Word makes it quite easy to convert text to table/convert table to text. Text converts to a table includes separator character such as paragraph mark, tab character & commas or other characters.

Sort: Rearrange test in a document by shorting it numerically, alphabetically or by date.

Formula: Make total, Average, Maximum and minimum through a formula. Press Ctrl + F9 and type Formula =sum (range) and than press F9.

Show / hide Gridline:  Gridlines form the cell boundaries and are not printed. All tables by default have a black ½-point, single-line, solid-line border that is printed. If you remove this border, the gridlines remain until you hide them.

Tools Menu


Tool:  
Includes checking grammar & spelling, to select auto summarize & auto correct  facility, document protection, create envelope & tables or labels, macros, mail merging the document. It also includes the option button which includes all the main settings of MS-Word such as security, File location, compatibility etc. 


Spelling and Grammar: Spell check is run using either the tools/ spelling menu selection or by clicking the spelling button. You can check an entire document or a selected word or passage.

Language: You can change the language or omit proofing for a document or for selected text in a document. If you change the language, you must have the dictionary of the language or a related to check the spelling.

Thesaurus: Electronic thesaurus lets you look up and select synonyms for words in the text of you WordStar document at any time during editing.

Word count: This option is used to count the total number of pages, word, character,(no spaces), character (with spaces), paragraph, lines in the file.




Auto summarize: Automatically summarize a document. AutoSummarize identifies the key points in a document. AutoSummarize works best on well-structured documents, such as reports, articles, and scientific papers.

Protect document: You can protect the text of a document from being changed by other assign a password to the file. Passwords are case sensitive.

Mail Marge: Word’s Mail Merge feature to combine a data source with a main document. The data source is a Word database file that contains the information that changes for each document. The main document contains the texts that stays the same in each document and merge field codes that instruct Word where to insert the data source information. Mail merge is the printing of a bunch of similar documents by merging the information in one document, called the main or master documents, with essentially a database of variable information in second document, called the data source.

Macro: A macro is a series of commands that you can group together as a signal command to make everyday task simpler and easier. A macro is first recorded and saves with a name and a shortcut key. When you record the macro, you perform a series of steps. When you run the macro, these steps are performed exactly as you recorded them.

Auto correct: Control the capitalization of some text when you are inputting a string of artistic text or block of paragraph text. It also allows you to build quick shortcut words when entering repetitive information.
 

Customize:

     Create a custom toolbar

  1. On the Tools menu, click Customize.
  2. Click the Toolbars tab.
  3. Click New.
  4. In the Toolbar name box, type the name you want.
  5. Click the Commands tab.
  6. Do one of the following:
Add a button to the toolbar
1.    Click a category in the Categories box.
2.    Drag the command you want from the Commands box to the displayed toolbar.
3.    In the Categories box, click Built-in Menus.
4.    Drag the menu you want from the Commands box to the displayed toolbar.

When you have added all the buttons and menus you want, click Close.



Format Menu


Format: 

Includes to change or set the font, font size, style, alignment to change or set the paragraph alignment, indents & spacing to add bullet & numbering border & shading, to set the color for the text before background, to set tabs or drop tabs & change the cases



Font: In this option to change the fonts, font styles (Regular, Italic, Bold, Bold italic), point size (1 to 1638), font colour, underline & underline colour, effects means strikethrough, superscript, subscript, hidden, small caps, all caps, outline, shadow, engrave, embosses etc. & you also set the character animation of sees types ( blinking background, lass Vegas, marching black ants, marching red ants, sparkle text).

Paragraph:  Each time you press enter in a word document; you insert a paragraph mark and start a new paragraph. In paragraph set the alignment as left, centre, right, justify and set the paragraph before or after spacing.

Bullet & Numbering:  Word for windows offers an array of bullet list options. You can ever choose your own bullet character. Set the bullet and numbering to create a bulleted or numbered list automatically.

Boarder & Shading: Word for windows provide paragraph border, page border and shading features. You can apply various types of border, art and shading to a single paragraph or groups of paragraph of continuous text. 

Columns: You can use the format columns menu selection to specify the number of columns. Set the width, space between columns, & equal column width and whiter or not the column setting should apply to the entire document or form the current point forward. Column is mainly used in the newspaper.

Tabs: Setting tab has been the traditional method for providing column and table features on traditional typewriters. The default unit of measurement when setting tabs is in inches. Word for windows offers five specialized tab stop types. (Left, Right, Centre, Decimal, bar tabs). We work with tabs to help align text and particularly useful for making simple columnar settings and set the leader (none, doted, dash, solid plain line) in between the tabs.

Drop Cap: Drop cap sets the first letter in particular fonts & set the total no. of lines to be dropped.

Text Direction: When you create the text box then you can set three types of text direction (left, right, top in the selected box.

Change Case: Change case of the selected text. Five choices of case (upper case, lower case, title case, sentence case, toggle case) which are quite self explanatory. For example, upper case changes all selected characters to uppercase letters.

Background: You can apply a different color, apply a texture or picture instead of color, or change settings for patterns and gradients.
  1. On the Format menu, point to Background.
  2. Do one of the following:
§  Click the new color you want.
§  Click More Colors to see additional color choices.
§  Click Fill Effects to change or add special effects, such as gradients, textures, or patterns.
Themes: A default theme is applied to your active file and any new files that you create, although you can change the theme as you're working.

Styles: Styles are named groups of formatting command used to present your document with consistent formatting. When you apply a style, each format in the style is applied simultaneously to selected text.

Reveal formatting:
  1. On the Format menu, click Reveal Formatting.
  2. Select the text whose formatting you want to review.
  3. The formatting information will appear in the Reveal Formatting task pane.
Object: You can change the formatting of an object.




Insert Menu

Insert: Includes creating page, to add page number, date & time, are to text, comment, captions to active document or add object such as picture text box. Hhhhhhhhhhyperlink

Break:  Word automatically inserts the page break in the running text depending on the page margins set for that document. Word allows inserting manual page break by pressing ctrl+ shift + enter.

Page number: Insert page numbers they are placed in a frame in the header or footer.

Date & time: Insert your system’s date and time into a document. It will stay the same as when it was inserted in your document. If you insert the date or time, it is updated automatically, your can update the current system date and time whenever you open your document.
Auto text: Auto text lets you quickly insert entries which you have saved in a document. You can create named entries for text or graphics that you use offer, such as the return address or classing of a letter.

Symbol: Insert symbol to add a symbol or special character to a document.

Comments:  Add comments to a document to a document with insert comment.

Reference:

Footnote: Footnote and endnotes to provide explanation or references to marked items in the text of a document. Footnote appears at the bottom of the page where the marked items appear. Endnotes appear at the end of the document.

Captions:  If you write long document with numbered figures, tables and other elements, it automatically numbers things lets you label them, and then renumbers them if you move them or otherwise change their sequence in a document.

Picture:
  1. Click where you want to insert the picture.
  2. On the Insert menu, point to Picture, and then click From File.
  3. Locate the picture you want to insert.
  4. Double-click the picture you want to insert.

Diagram:
  1. Diagram: -On the Drawing toolbar, click Diagram or Organizational Chart.
  2. Click one of the following diagram types:
§  Venn
§  Cycle
§  Pyramid
§  Target
  1. Click OK.
  2. Do one or more of the following:
  • If you want to add text to an element in the diagram, right-click the element, click Edit Text, and then type the text.
      • For cycle and target diagrams, you can only add text to the text placeholders that appear when you insert the diagram or diagram element.
  • If you want to add an element, click Insert Shape on the Diagram toolbar.
  • If you want to add a preset design scheme, click AutoFormat on the Diagram toolbar, and select a style from the Diagram Style Gallery.
  1. Click outside the drawing when you are finished.
Text box:

  1. On the Drawing toolbar, click Text Box.
  2. Click or drag in your document where you want to insert the text box.

File:
  1. Click where you want to insert the second document.
  2. On the Insert menu, click Insert File.
  3. In the File name box, enter the name of the file you want to insert, or browse to locate the file.
Object: Create and insert object in your current file
           
Bookmark: A bookmark identifies a location or selection of text that you name and identify for future reference. For example, you might use a bookmark to identify text that you want to revise at a later time. Instead of scrolling through the document to locate the text, you can go to it by using the Bookmark dialog box.

Hyperlink:
1.    Select word you want to create link.
2.    On the inset menu, click Hyperlink.
3.    In the File name box, enter the name of the file you want to make hyperlink and than click ok.




View Menu


View: Includes looking at the active document in different ways. To select the toolbar, rules, header & footer & so on.

Normal: This view is used only for creating and editing document. It dose not show side-by-side headers, footers, vertical ruler line, and margins. Automatic page breaks are shown as dotted line.

Web layout: Work in Web Layout View when you are creating a Web page or a document that is viewed on the screen. In Web layout view, backgrounds are visible, text is wrapped to fit the window, and graphics are positioned just as they are in a Web browser.

Print layout:  In this view text and graphics are positioned where they will print. Headers and footers can be both seen and edited.

Outline view: Work in Outline View to look at the structure of a document and to move, copy, and reorganize text by dragging headings. In outline view, you can collapse a document to see only the main headings, or you can expand it to see all headings and even body text.

Task Pane: Show or hide the task pane.

Toolbar: Show & hide the toolbar.

Ruler: Show & hide the ruler

Document Map:  Turns on or off the document map.

Thumbnails:  Thumbnails are small renderings of each page in your document, displayed in a separate pane. Thumbnails give you a visual impression of the content of each page. You can click a thumbnail image to jump directly to a page..

Header and Footer: Work in the header and footer areas by clicking Header and Footer in View menu.

Footnote:  Footnotes are displayed in the print layout view and print preview but not display in normal view. There is several ways to display to display the footnotes in normal view.

Markup:  Display or hide the comments on the screen.

Full screen: Show or hide the current page matter in the full screen.

Zoom:  It lets you zoom in and out to see bigger or smaller on-screen representation.




Edit Menu

Edit: Includes new, cut, copy, delete or paste the selected text, object search and replace the word & pareses automatically



Undo: Use undo to cancel the last command.

Redo:  It is used to redo the last action.

Cut: Cut the selected text temporarily and paste at another location.

Copy: Copy the selected text in the memory.

Office clipboard: Office Clipboard works with the standard Copy and Paste commands. Just copy an item to the Office Clipboard to add it to your collection, then paste it from the Office Clipboard into any Office document at any time. The collected items stay on the Office Clipboard until you exit Office.

Paste: Paste the text through memory in the current cursor position.

Paste special: Paste text without formatting or paste link the text through memory in the current position.

Paste as hyperlink: Link between the two pages through hyperlink.
         
Clear: Delete the selected text formatting & delete text permanently.

Select all: Select all the objects & text in the current file.

Find: A powerful and frequently used word processing feature is of searching for a specified word.

Replace: Replace the particular text to another text.

Go to: This is one of their easiest and quickest ways to move in a big document to go to the particular page.

Links: Link two word documents, or link a document created with another application to a word document.

Object: Edit an object embedded in the word document.

File:- 
                 Includes opening a new or existing file, to save or to save with different names, to change default, setting of page margin, size & orientation & to print a document.

New: Word will open a new, untitled document window. To create a document, click at the new option in the file menu or new button in the toolbar or use ctrl+ n keyboard shortcut key

Open:  with word running, if you wish to open a pre-existing/loaded document, choose open command on the file pull down menu or use ctrl+ o keyboard shortcut key.

Close: Close current file.

Save:  Uses the save command on the file pull down menu or use ctrl+ s keyboard shortcut.

Save as:  Save the current file with another name.

Save as web page:  You can save the current file as web page.

File search: Search any file in computer system.
         
Version: Save and manage multiple version of a document in a single file instead of saving each version in a separate file.

Web Page Preview:  In Web page preview, you can see how your document will look in a Web browser.

Page setup: Set the page setting in the file like change the margins (Top, Bottom, Left, Right & Gutter margin ) set the margin apply in whole document and this point forward. Paper size (letter, A4, legal etc)

Print preview: Use print preview to display a document exactly as it will be printed means view the document will look how when you’ll print it.

Print: Print the current file & current page & print the selected area and print the selected pages as like 2, 4,6,9,12,15 etc.

Send to: To send current file matter to another application program.

Properties: Display the property sheet of the active file statistics information means display total pages, paragraph, lines, words, characters, characters with space in the file.

Exit: Exit from file.
